The CLE PTA is seeking an organized and enthusiastic volunteer to lead the planning and execution of our annual Monster Mash. This is a fun, free to attend, community-focused event that brings together students, families, and staff in a festive environment. This year event will be held on Friday October 24, 2025.
Key Responsibilities:
Event Planning & Coordination
Plan and oversee all aspects of the Halloween party for students, including games, decorations, snacks, entertainment, and other activities
Vendor conversations have been started and decor from last year is organized, if you want a plug-and-play planning experience
If desired, recruit Monster Mash committee members to co-plan the event
Work within a provided budget of approximately $2,000
Coordinate logistics, including set-up and clean-up
Volunteer Management
Create and distribute a Sign Up Genius link to recruit parent and student volunteers for various roles (e.g., set-up, activity stations, clean-up).
Communicate clearly with volunteers before the event and manage them on the day of the party to ensure smooth operation.
Communications
Submit a Communications Request Form (via PTA) to promote the event through school newsletters, social media, and other communication channels.
Provide clear instructions and updates to all stakeholders (PTA and volunteers).
Collaboration
Work with the PTA VP of Events and school administration to ensure alignment with school policies.
Coordinate with vendors or community partners if external services or donations are included.
Skills & Qualifications:
Must be available on the day of the event (10/24/25) for on-site leadership
Strong organizational and time management skills
Comfortable leading a team of volunteers
Work with the PTA Special Education Representative to ensure accessibility and inclusion for our community
Oversees volunteer-driven social events that help foster community spirit, encourage lasting connections, and create enjoyable experiences for families.
Partners with event leads (such as Monster Mash, Fun Run, Walk and Roll, STEAM Fair, Spring Carnival, Kindergarten Welcome, etc.) to assist in planning and delivering successful events.
Note: The VP of Events provides support and guidance, but is not solely responsible for managing or running individual events.
Collaborates with the VP of Communications to make sure event details are effectively promoted to the school community.
Event Concessions
Responsible for maintaining concessions stand used for various events, organize volunteers, keeping appropriate stock

Garden
Utilize the garden space to provide a learning environment to students. This includes Garden Club, classroom education, and working with outside enrichment programs.

Membership
Share with parents/grandparents/caregivers all the benefits being a PTA member provides and encourage them to join and have a voice

SBA Testing Snacks
Each spring SBA testing takes place and the students look forward to the endless supply of gum and snacks. This needs a person to organize the purchasing and distribution of these snacks.

Spirit Wear
Students and parents enjoy showing off their Sailor pride with spirit wear. Oversee the marketing of CLE shirts/hoodies, etc

Popcorn Friday
Bring extra joy to the playground once a month with Popcorn Friday! This position organizes volunteers to pop and pass out the popcorn during recess.
